Selecting, Editing, and Printing 1099's in Dynamics GP

Printing 1099's is completely different in GP 10 than in previous versions, leading to many questions from clients. Here's how it's done, step-by-step.

               

First step: Verify the 1099 Information. This is done by done by printing the 1099's to blank paper and reviewing the information.

To do this, point to Tools on the Microsoft Dynamics GP menu > Routines > Purchasing and then click Print 1099.

               

Note: This process could take a while, so if you do not see anything happening for a couple of minutes, be patient. The process is running and calculating in the background.

               

               

Second Step: Review the 1099 file, if you need to make any adjustments, open the 1099 details window. There are two ways you can do this.

             

First way:

  • Cards> Purchasing> 1099 Details
  • Select a vendor
  • In the tax type list, select the appropriate tax type
  • In the display field select Month, and type 2009 in the Year field
  • Scroll to the month that has the wrong information and type in the correct amount on the correct line (based on tax type). This does not change any transactional information; it only changes the 1099.
  • Click on Save

             

             

               

Second way: 

             

  • Cards> Purchasing> Summary
  • Select a vendor
  • Display the Calendar year
  • Type 2009 in the Year field and select the month you would like to review/edit
  • Once you are on the correct month, select the blue arrow next to the 1099 Amount field. This will take you to the 1099 Details window (the same one above). Now you can type in the correct amount for this period on the correct line (based on tax type). Again, this only changes the 1099. It does not change any transactional information.
  • Click on Save

               

             

               

               

Wondering what the difference is between these two methods and if it matter which one you choose? It does not matter which method you choose.

               

The first method takes you directly to the 1099 Details window where the edits are made.

               

The second method takes you to the vendor summary and lets you see the difference between the Total amount paid to the Vendor and the Total amount that is considered 1099 prior to taking you to the 1099 Details window.

             

Third Step: Once you have made the changes to the 1099 details, you can re-run the 1099's using step 1

Again, point to Tools on the Microsoft Dynamics GP menu > Routines > Purchasing and then click Print 1099. To verify, print to plain paper.

             

When you are ready to print the 1099's for vendors, print the 1099 report on IRS approved 1099 preprinted forms. This can be done at any time. Remember to keep the 1099 mailing deadlines in mind!

how do you correct the alignment on the City State portion of the address?

Jan, To correct alignment on the City and State portion of the 1099 (or any other section or area) print the 1099 to the screen and click on the Modify button. This will take you to the Report Writer where you can move the fields to the left or right. Save the changes and reprint the report.
